Job Description:

Transport Services 

  • Provide safe, timely, and professional transportation services for staff, visitors, consultants, and partners. 
  • Transport light cargo, documents, and office supplies as required. 
  • Meet and assist visitors at airports, train stations, and other arrival points when required. 
  • Follow approved travel routes, security procedures, and organizational transport policies. 
  • Monitor road, weather, and security conditions and report potential travel risks. 
  • Support field missions and program activities through reliable transportation services. 
  • Maintain confidentiality and professionalism when interacting with staff, visitors, government officials, and partners. 
  • Assist with basic translation and communication support when required. 

Vehicle Management and Maintenance 

  • Conduct daily vehicle inspections before and after trips. 
  • Ensure assigned vehicles remain clean, roadworthy, and properly equipped. 
  • Monitor fuel, oil, coolant, brake fluid, tire pressure, battery condition, and other operational requirements. 
  • Coordinate routine servicing, preventive maintenance, repairs, and technical inspections. 
  • Promptly report mechanical issues, accidents, or damage to the supervisor. 
  • Ensure vehicles are equipped with mandatory safety equipment, including first aid kits, fire extinguishers, spare tires, and emergency supplies. 
  • Monitor vehicle mileage and maintenance schedules and ensure timely servicing. 

Fleet Documentation and Compliance 

  • Key Responsibilities 
  • Maintain accurate vehicle logbooks and trip records. 
  • Record daily mileage, fuel consumption, maintenance activities, and vehicle utilization. 
  • Ensure timely renewal and availability of vehicle registration, insurance, inspection certificates, and other statutory documentation. 
  • Maintain accurate fleet records and supporting documentation for audit and compliance purposes. 
  • Assist in accident reporting and insurance claim processes as required. 
  • Support preparation of vehicle utilization and fuel consumption reports. 

Generator Operation, Facilities Support, Administrative and Operational Support 

  • Operate the office generator in accordance with established procedures. 
  • Monitor generator fuel levels, operating hours, and maintenance requirements. 
  • Conduct routine generator inspections and report faults or servicing needs. 
  • Maintain generator operational records and service documentation. 
  • Coordinate repairs and preventive maintenance with approved service providers when required. 
  • Deliver and collect documents, parcels, and official correspondence. 
  • Assist with office administrative tasks when transport duties allow. 
  • Support office logistics, events, workshops, and meetings as requested. 
  • Perform other duties assigned by the supervisor in support of organizational operations. 
  • Participate in trainings, staff meetings, and organizational events.
