Job Description

Overview of the role and responsibilities

Kolaborasi untuk Edukasi Anak Indonesia (KREASI), or Collaboration for the Education of Indonesian Children, is a program designed to accelerate the improvement of literacy, numeracy, and character education for preschool and primary school students in 8 districts across four provinces in Indonesia. The Global Partnership for Education (GPE) funds the program through the Multiplier Grant allocated for Indonesia, leveraging the Australian Government's Department of Foreign Affairs and Trade (DFAT) investment for its INOVASI Phase 3 program. 
KREASI and its Grant Agent, Save the Children Australia and Save the Children Indonesia as the in-country representative, were appointed by the Ministry of Education, Culture, Research, and Technology (MoECRT) and the Ministry of Religious Affairs (MoRA), with the endorsement of Mitra Pendidikan Indonesia / Local Education Group (MPI/LEG), a consortium of 17 international and local education stakeholder organizations. The program is closely aligned with Indonesia's national education goals, particularly the Merdeka Belajar initiative, which emphasizes essential and flexible learning processes tailored to each student's interests, talents, and needs, focusing on holistic, relevant, and sustainable education. 
KREASI is a program designed to accelerate improvements in literacy, numeracy, and character education across targeted districts in Indonesia. The Logistic Officer plays a key role in ensuring efficient logistical and administrative support to program implementation, especially for national-level engagements, staff mobility, and supply chain management.
The position ensures that all logistical processes are conducted effectively, timely, and in compliance with organizational policies, contributing to smooth program delivery and stakeholder engagement.
 
KEY AREAS OF ACCOUNTABILITY:
Administrative Support for National Meetings

  • Support the KREASI SMT team in organizing national meetings by managing administrative and logistical arrangements.
  • Prepare meeting documentation, including agendas, attendance lists, and required materials.
  • Coordinate with vendors, the KREASI supply chain team, and venues to ensure availability of equipment and services.
  • Ensure all meeting logistics are delivered on time and executed professionally.

Staff Travel Administration

  • Manage end-to-end staff travel arrangements, including flights, accommodation, and local transportation.
  • Serve as the primary focal point between the KREASI team and travel agencies for all staff travel coordination.
  • Ensure all travel requests comply with organizational policies and donor requirements.
  • Prepare travel documentation, including itineraries and necessary approvals.
  • Process reimbursements and maintain accurate and up-to-date travel records

Stock and Inventory Management

  • Receive and verify IT-related materials, including signing Goods Receipt Notes (GRN), in line with the new SC IDN procedures.
  • Maintain accurate inventory records for office and program supplies.
  • Monitor stock levels and initiate timely replenishment to avoid shortages.
  • Ensure proper storage, distribution, and tracking of all goods.
  • Conduct regular inventory checks and prepare inventory reports.
  • Support asset management processes in compliance with organizational standards.

National Event Coordination (Workshops, Trainings, etc.) – By assigned

  • Oversee logistical planning and implementation of national activities, including workshops, training sessions, and program events.
  • Coordinate with internal teams, partners, and vendors to ensure smooth and efficient execution.
  • Manage procurement and timely delivery of materials required for activities.
  • Supervise on-site logistics during events, ensuring operational efficiency and prompt issue resolution.

Coordination and Compliance

  • Ensure all logistical processes comply with procurement and operational policies.
  • Maintain proper documentation and filing of logistics-related transactions.
  • Coordinate closely with finance, admin, and program teams for activity support.

Other Tasks

  •  Perform additional duties as assigned by the KREASI Head of Operations
     

QUALIFICATIONS AND EXPERIENCESEducation and Experience Background:

  • Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or related field.
  • Minimum 2–3 years of experience in logistics, administration, or operations (NGO experience preferred).
  • Experience supporting events, travel coordination, and inventory management.

Skills and Knowledge:

  • Strong organizational and multitasking skills.
  • Good communication skills in Bahasa Indonesia and basic English.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint).
  • Knowledge of procurement and logistics processes.
