Job Description:
Recruitment and Selection
• Act as the recruitment and selection focal point for Jordan, Syria and Türkiye and serve as the main point of contact for recruitment-related matters.
• Manage the full recruitment and selection cycle from approved PRF and graded Job Description to candidate onboarding.
• Meet with hiring managers to understand recruitment needs, job responsibilities, required qualifications and key competencies.
• Prepare or review job advertisements and post vacancies on approved platforms, including Workday, Akhtaboot, ReliefWeb, Gelbasla and KOBO, etc….as applicable.
• Review applications, conduct screening, prepare longlists and shortlists, and apply agreed selection criteria consistently.
• Coordinate interviews and tests, confirm candidate availability, prepare interview schedules and share interview matrices.
• Participate in interviews and assessments, evaluate candidates against established criteria and provide recruitment guidance to hiring managers.
• Ensure recruitment processes are fair, transparent, compliant with organizational policies and aligned with equal opportunity principles.
• Conduct reference checks and support required background and Block Party Screening (BPS) processes.
• Support offer preparation, salary negotiation, candidate communication and collection of required documents after approvals are secured.
• Manage recruitment-related Workday actions, including position creation, job requisition requests and support to hiring managers.
Continuous Improvement
• Hold regular review meetings with hiring managers and relevant stakeholders to assess the effectiveness of recruitment plans and processes.
• Gather feedback from hiring managers, candidates and P&C stakeholders to identify areas for improvement.
• Collaborate with managers to identify future hiring needs and support recruitment planning.
• Recommend updates to the recruitment and selection SOP based on lessons learned and operational needs.
Recruitment Tracking and Reporting
• Maintain and update the online recruitment tracker with accurate vacancy status, candidate pipeline information, hiring manager details and relevant notes.
• Review tracker data regularly to ensure accuracy and completeness.
• Update weekly progress on active vacancies and candidate movements.
• Compile recruitment statistics and prepare monthly recruitment summary reports for SLT.
Orientation for New Candidates
• Coordinate orientation planning with hiring managers and relevant departments for newly selected candidates.
• Schedule orientation sessions, send invitations and ensure required paperwork is prepared and signed.
• Align orientation sessions with hiring manager availability and operational needs.
• Support customization of orientation content based on role and department requirements.
• Communicate orientation details to new hires and relevant stakeholders and gather feedback for improvement.
Recruitment Filing and Documentation
• Manage recruitment filing and document management systems.
• Ensure all mandatory recruitment documents, approvals, interview records, matrices, candidate documents and related correspondence are complete and properly filed.
• Draft and maintain required recruitment documents and templates as needed.
Required Professional Experience :
1. Minimum 3 years of experience in recruitment, preferably within humanitarian organizations, NGOs or INGOs.
2. Demonstrated experience in recruitment and selection, sourcing, screening, interview coordination and hiring processes.
3. Experience in HR systems administration and recruitment data management; Workday experience is an advantage.
4. Experience managing multiple vacancies and coordinating with hiring managers in a fast-paced environment.
Required Education ,Training, License, Registration and Certification :
1. University degree or equivalent in Business Administration, Human Resources, Social Sciences, Psychology or a related field is required.
2. Strong attention to detail and ability to maintain accurate records.
3. Good written and verbal communication skills.
4. Good computer skills, including word processing, spreadsheets, database management and HR systems.
5. Ability to build and maintain positive working relationships with colleagues, hiring managers and candidates.
6. Emotional maturity and ability to handle confidential matters professionally.
7. Excellent organizational, planning and follow-up skills.
Preferred Knowledge and Qualifications :
1. Quick learner who is agile, flexible and adaptable.
2. Ability to demonstrate sound judgment and work with limited supervision in virtual working relationships.
3. Ability to contribute to a healthy team spirit within virtual and cross-country teams.
4. Cross-cultural sensitivity and ability to work effectively with diverse stakeholders.
5. Experience in an INGO setting and exposure to international working culture and practices is a strong advantage.
Language Requirements :
Fluency in Arabic and English, spoken and written, is required. Turkish language skills are an advantage.
