Job Description:

THE PURPOSE OF THE ROLE

The Project Coordinator will coordinate project planning, implementation, monitoring and reporting to support delivery within agreed scope, timelines, budgets and quality standards. Maintain project schedules and records, organize meetings and logistics, coordinate team and stakeholder inputs, track progress and expenditure, and escalate risks and issues. Support effective communication, compliance and continuous improvement under the direction of the Area Programme Manager/ EER Portfolio Manager.

 

MAJOR RESPONSIBILITIES

  • Support preparation and updating of project workplans, schedules, milestones and resource requirements with the Project Manager and team.
  • Coordinate collection of project requirements and stakeholder inputs; record agreed scope, deliverables and acceptance criteria.
  • Arrange planning meetings, clarify responsibilities and dependencies, and maintain an action tracker.
  • Coordinate day-to-day activities against approved plans and follow up assigned tasks and deliverables.
  • Maintain team schedules, communicate priorities and support task allocation as directed by the Project Manager.
  • Arrange timely input from technical specialists, partners and suppliers; refer technical decisions to the appropriate responsible person.
  • Monitor activity progress and delivery quality through meetings, site visits or other agreed review methods.
  • Collect and check progress data and supporting evidence with responsible team members; update milestone and performance trackers.
  • Maintain risk, issue and change logs; flag delays, dependencies and emerging concerns and recommend practical responses.
  • Coordinate meetings, travel, venues, equipment and procurement requests with relevant support functions.
  • Support accessible and inclusive participation in project activities and address practical communication or access barriers.
  • Support project reviews, assessments, evaluations and closure activities, including tracking recommendations and handover tasks.
  • Track project expenditure, commitments and forecasts with Finance; check supporting records and flag budget variances to the Project Manager.
  • Follow applicable organisational, contractual and funding requirements, including procurement procedures and delegated approval limits.
  • Apply confidentiality, data protection, health and safety, ethical conduct and safeguarding requirements relevant to the project; report concerns through designated channels.
  • Maintain stakeholder communication and feedback records; route enquiries or complaints to the responsible person and track responses.
  • Prepare and consolidate progress reports, meeting minutes and project documentation; submit reports for review within agreed deadlines.
  • Maintain organised project files and version control; capture lessons learned and track agreed improvements.
  • Support team members to use planning, tracking and reporting tools; identify support needs and arrange guidance where required
  • Participate in relevant coordination meetings and follow up decisions with assigned owners.
  • Complete relevant training and undertake other reasonable project coordination duties assigned by the supervisor within the scope of the role.

 

KNOWLEDGE & QUALIFICATIONS

  • Diploma or bachelor’s degree in Project Management, Business Administration or a relevant discipline, or an equivalent combination of relevant training and experience.
  • Relevant project management training or an entry-level certification is an advantage.
  • At least 3-5 years of relevant experience in project coordination, project administration or a related operational role.
  • Experience maintaining workplans, schedules, action trackers and project records.
  • Experience coordinating multiple stakeholders, meetings and logistics.
  • Experience preparing progress reports and supporting budget or expenditure tracking.
  • No mandatory professional licence or certification is specified for this general role; any project-specific requirement should be confirmed by the employer.
  • Knowledge of project lifecycle processes, scheduling, risk and issue tracking, and document control.
  • Proficiency in word processing, spreadsheets, presentations and collaboration tools; familiarity with project management software is desirable.
  • Strong organisation, time management, attention to detail and practical problem-solving skills.
  • Clear written and verbal communication, including report writing and meeting facilitation.
  • Ability to coordinate diverse stakeholders, work independently and manage competing deadlines.
